Accounting support for NGOs, charitable foundations and grant projects

We organise the accounting of receipts and expenses, primary documents, restricted (earmarked) funding and reporting, taking into account the organisation’s activity and the requirements of the specific donor.

Who the support is for

  • Public associations (NGOs) with membership fees, grants and charitable receipts.
  • Charitable foundations that collect and distribute funds for their statutory activity.
  • Grant project implementers — stand-alone projects or projects within a broader international technical-assistance programme.

Public associations (NGOs)

Recording of membership fees, charitable receipts and restricted funding separately from statutory and, where applicable, entrepreneurial activity; preparation of reports to the supervisory authorities within the deadlines set for non-profit organisations.

Charitable foundations

Separation of funding sources, tracking of the restricted use of funds by areas of statutory activity, and preparation of data for reports to the foundation’s founders, supervisory board or donors.

Grant projects

Separation of transactions by project and budget lines, monitoring of budget utilisation, and preparation of primary documents and financial reports in the format required by the specific donor.

Non-profit status

Preserving non-profit status depends on compliance with the requirements on the use of funds and on the structure of the organisation’s activity. In day-to-day work we draw attention to accounting risks for the status, but the final decision on entry to or removal from the Register of Non-Profit Institutions and Organisations is made by the supervisory authority — this lies outside the scope of accounting support.

Primary documents

  • Contracts, grant agreements and terms of reference — checked for compliance with the donor’s requirements or the charter.
  • Invoices, acts, delivery notes, advance reports and timesheets — control and posting.
  • Accounting for fixed assets and low-value non-current assets acquired with grant or foundation funds.

Donor reporting

We prepare interim and final donor reports with expense registers and supporting documents — in the format and language required by the specific programme. An individual donor’s requirements may involve additional procurement approvals or reporting forms.

How we start working together

  1. A short consultation: you tell us about the organisation, its sources of funding and the donor’s requirements (if any).
  2. We analyse the charter, contracts or grant agreement, the budget and the current state of the accounting.
  3. We agree the scope of work, the cost and the reporting format.

Cost

The specific scope of work is determined after an analysis of the organisation’s activity, the terms of funding, contracts, the project budget and the reporting requirements. An individual donor’s requirements may involve additional procedures, documents or approvals, which are agreed before support begins.

Frequently asked questions

Can you prepare reports in English for a foreign donor?

Yes, we prepare financial reports in the format and language required by the donor.

Do you guarantee that the organisation’s non-profit status will be preserved?

No — we draw attention to accounting risks for the status, but the decision on entry to or removal from the Register of Non-Profit Institutions and Organisations is made by the supervisory authority, not by accounting support.

What happens if expenses deviate from the grant budget?

We monitor compliance of expenses with the budget throughout the period, so that deviations are detected immediately rather than in the final report.

Do you guarantee that the donor will accept the report?

No — we prepare reports in line with the donor’s known requirements, but final acceptance of the report depends on the donor and lies outside the scope of accounting support.

Discuss your organisation or project in a consultation

A short introductory conversation is free of charge. Tell us about the organisation, the donor and the reporting format — we will propose an accounting scheme.
